WingArc1st Inc. announced that SQUARE ENIX CO., LTD. has implemented the digital document platform, SVF Cloud. By enabling flexible integration with other systems, the platform delivers consistent document output and stable operation, capable of handling large volumes of documents.
■Background
SQUARE ENIX has renewed its core system to SAP S/4HANA to build a foundation for growth over the next decade. Workflow operations such as approval requests, purchase requests, and equipment management have been integrated into the Pega Platform. As part of these system migrations, SQUARE ENIX migrated its document infrastructure to the cloud to ensure that forms can be consistently created and managed within the cloud environment.
Business documents such as quotes and invoices are essential for recording and verifying transaction details, and it is necessary to ensure the reliable operation of business documents.
There have been many requests from business units to maintain exactly the same document formats, with specific requirements for line thickness, positioning, spacing, layout, and precision - requirements that are unique to Japanese companies.
SQUARE ENIX chose SVF Cloud as the solution to address these requirements. The key points for adoption are as follows:
- The reliability and unmatched stability of SVF products, backed by years of proven performance
- Ease of business document development
- The ability to meet detailed document requirements specific to Japanese companies (e.g. line styles, display position, and layouts)
■Operational Status After Implementation
The new core system was launched in May 2023. Currently, all accounting-related documents generated by SAP S/4HANA, as well as various documents such as invoices, quotations, and purchase orders issued by the Pega Platform, are output via SVF Cloud. As a result, a unified document output infrastructure has been established in the cloud, delivering excellent processing performance for both high volume batch processing and real-time output, while ensuring the stable generation and management of large volume of documents.
SQUARE ENIX also reviewed its business processes and document systems, establishing a policy to centralize the creation and management of documents within SVF Cloud. As a result, the company streamlined its portfolio to approximately 50 key documents.
By standardizing engineers' skills and unifying specifications and system standards, SQUARE ENIX has ensured the stable operation of its document platform, thereby helping to reduce maintenance costs.
Going forward, SQUARE ENIX plans to enhance its business processes through the use of generative AI, with a view to automating tasks that currently require human intervention and will further explore digitalization and integration initiatives.
