WingArc1st Inc. is pleased to announce that NTT DOCOMO SOLUTIONS, Inc., a core company of the NTT DOCOMO Group, has introduced the electronic document platform, invoiceAgent, to create a system for automatically storing and managing documents linked to ServiceNow approvals. invoiceAgent has enabled NTT Group to comply with the Electronic Books Preservation Act by automatically storing and managing documents corresponding to the approval workflow of 170,000 people across 115 companies, leading to improved audit work efficiency and stronger governance across the entire group.

■ Background
Until now, each NTT Group company had its own unique approval system and different approval processes. Some companies still managed documents on paper. With the aim of promoting remote work and work style reform, there was an urgent need to digitize and standardize systems across the entire group.
NTT DOCOMO Solutions, which is responsible for developing and providing the group's common IT infrastructure, decided to introduce ServiceNow as the group's common approval system, and therefore introduced invoiceAgent as a mechanism for automatically storing huge amounts of approval documents while complying with the Electronic Books Preservation Act.

■ Benefits of implementation
invoiceAgent was introduced in conjunction with the NTT Group's common approval workflow and began operation in April 2023 with a scale of 100,000 people at 70 companies. Currently, invoiceAgent centrally manages approval documents used by 170,000 people at 115 companies in the group. In the first year after implementation, approximately 6.5 million files were stored, and currently, the number of files is increasing at over 10 million per year. An environment has been created where files can be automatically stored without placing a burden on users or administrators, achieving unified compliance with the Electronic Books Preservation Act across the entire group.
By managing all files related to one approval using invoiceAgent and clarifying the location of documents, it became possible to obtain access logs, which not only reduced the workload during audits but also strengthened governance across the entire group. Approximately 1,000 people, mainly from the audit and accounting departments, use invoiceAgent.
In addition, the dedicated adapter that connects invoiceAgent with ServiceNow not only enables flexible automatic integration that is tailored to business operations, but also automatically responds to the twice yearly ServiceNow updates, significantly reducing operational burden.
The company is also promoting the use of invoiceAgent for document management of invoice output from each company's unique workflow, and is considering expanding the scope of use to meet the needs of each group company.
