Polyplastics adopts invoiceAgent integrated with Salesforce

WingArc1st is pleased to announce that Polyplastics Co., Ltd (Polyplastics) has implemented invoiceAgent and invoiceAgent Adapter for Salesforce to establish a new business process with Salesforce to comply with the Electronic Books Preservation Act.
Background
Polyplastics, a manufacturer and seller of high-performance engineering plastic products, is consolidating sales, inventory, and other information managed by various systems and databases into Salesforce as a part of its company-wide digital transformation activities.
In order to comply with the Electronic Books Preservation Act and enable remote work, the accounting department, where paper-based operations remained, needed to reform business processes in each department involved in payment operations. After studying the electronic storage of accounting transaction documents and the new associated business processes, Polyplastics introduced invoiceAgent Adapter for Salesforce. The adapter is highly compatible with Salesforce and meets the requirements of the Electronic Books Preservation Act, which enabled Polyplastics to build a compliant system.
The key capabilities underpinning Polyplastics' decision were:

Effects of Introduction
The new system began in April 2022, and general expense payment operations previously conducted on paper have been digitized.
・After creating and issuing a payment slip (monitor slip) from the core system, the monitor table is saved in a designated folder in invoiceAgent.
・The AI OCR function reads the record information such as transaction numbers, dates, company names, and amount, and converts them into data. Folders are created by year and month based on the transaction number, and the monitor slip is moved and stored in the invoiceAgent folder, linked to Salesforce, and the record information is also linked and assigned.
・Since Salesforce contains the URLs of documents stored in invoiceAgent, it is now possible to perform approval and confirmation tasks while checking the forms in invoiceAgent based on the transaction number. invoiceAgent can also add timestamps when a new document is stored, and manage the documents in a format that meets the electronic data storage requirements of the Electronic Books Preservation Act.
・The billing process for approximately 1,000 general expense transactions per month has been digitized, reducing work man-hours and improving searchability by making vouchers paperless.
・The establishment of a cloud-based workflow compliant with the Electronic Books Preservation Act has enabled the accounting department to work remotely since August.
In the future, Polyplastics is considering utilizing invoiceAgent to establish a new purchasing transactions business process that is compliant with the Electronic Books Preservation Act.
